Terms of Service

These Terms of Service ("Terms") govern your access to and use of RFPilot, a software-as-a-service product owned and operated by Arwenus LLC ("Arwenus", "we", "us"). By creating an account or using the Service, you agree to these Terms.

1. The Service

RFPilot helps teams respond to RFPs, questionnaires, security forms and proposals using an AI-assisted knowledge base, collaboration tools and document exports. We may improve or modify features over time.

2. Accounts & workspaces

• You must provide accurate information and keep your credentials confidential.
• The workspace owner controls billing, team membership and workspace-level settings.
• You are responsible for activity that occurs under your account.

3. Your content

You retain all rights to documents, knowledge base entries and answers you upload or create ("Customer Content"). You grant us a limited license to process Customer Content solely to provide the Service (parsing, AI generation, storage, export). We do not use Customer Content to train AI models.

4. AI output disclaimer

AI-generated answers are drafts. They may contain inaccuracies and items marked [VERIFY]. You are solely responsible for reviewing, verifying and approving all content before submitting it to any third party. RFPilot is not liable for the outcome of any bid, tender or questionnaire submitted using the Service.

5. Acceptable use

• No unlawful, infringing or harmful content.
• No attempts to breach, probe or overload the Service.
• No reselling or providing the Service to third parties without our written consent.
• No uploading of data you do not have the right to process.

6. Trial, subscriptions & billing

• New workspaces receive a 14-day free trial; no credit card is required for the trial.
• Paid plans are billed per workspace on a monthly basis and renew automatically until cancelled.
• Plan limits (projects, AI answers, knowledge base entries, team seats) are described on the Pricing page.
• You may cancel or downgrade at any time; changes take effect for the next billing period.

7. Intellectual property

The Service, including its software, design and branding, is the property of Arwenus LLC. These Terms grant no rights to our intellectual property other than the limited right to use the Service.

8. Disclaimer & limitation of liability

The Service is provided "as is" without warranties of any kind. To the maximum extent permitted by law, Arwenus LLC's total liability arising out of or related to the Service shall not exceed the amounts you paid us in the 12 months preceding the claim. We are not liable for indirect, incidental or consequential damages, including lost profits or lost bids.

9. Termination

You may stop using the Service and request account deletion at any time. We may suspend or terminate access for material breach of these Terms. Upon termination, your data will be deleted in accordance with our Privacy Policy.

10. Changes, governing law & contact

We may update these Terms; continued use after changes constitutes acceptance. These Terms are governed by the laws of the jurisdiction in which Arwenus LLC is registered, without regard to conflict-of-law rules.
